How to Complete, Update, and Resubmit Your Expenses in SiFi

Overview

When you make a purchase using your SiFi company card, an expense record is created automatically. To ensure your expense can be reviewed and approved smoothly, your company's policy may require you to provide specific information—such as a receipt, a note, a category, or custom field details.

SiFi makes it easy to track what details are missing, respond to reviewer feedback, and resubmit any rejected expenses directly from your account.

1. Handling Missing Information & Pending Actions

Finding Expenses That Need Your Attention

If an expense is missing required details (like a receipt or description), you don't need to hunt through past transactions.

  1. Go to Expenses from the main navigation menu.

  2. Open My Expenses.

  3. Select the Reminders / Pending Actions filter at the top of the page.

All expenses that require action from you will be listed, along with a clear indicator of what is missing (e.g., Receipt required, Description required, Line items required).

Completing Your Expense

  1. Click on the expense that requires attention.

  2. SiFi will open the expense and focus directly on the section needing updates.

  3. Upload the missing receipt, add your note, or select the required details.

  4. Once all required information is added, the expense automatically updates and clears from your pending action list.

Note on Email & Push Notifications:

If you have pending expenses, your manager or finance team may send you an Expense Update Reminder via email or mobile push notification. Clicking the link in the notification will bring you straight to your pending expenses view on web or mobile.

2. How to Update and Resubmit a Rejected Expense

If a reviewer or approver rejects an expense, they will provide feedback explaining what needs to be fixed.

Step-by-step Resubmission Process:

  1. Locate the Rejected Expense: Go to My Expenses and filter by status or select the rejected expense directly (rejected expenses are clearly highlighted).

  2. Review Feedback: Open the expense to read the reviewer’s comments and see the missing requirements or adjustments requested.

  3. Make Updates: Edit the fields requested by the reviewer (e.g., attach a clearer receipt, update the expense category, or adjust notes).

    • Note: Any edits you make are saved as a draft while you work.

  4. Resubmit: Click Resubmit Expense.

  5. Confirm: A confirmation message will ask: "Are you sure you want to resubmit this expense for approval?" Confirm to proceed.

Once resubmitted:

  • The expense status automatically changes from Rejected to Pending Approval.

  • Your reviewer is immediately notified that you have updated the expense and provided the required information.
