πŸ’° Creating a Team Budget in SiFi

Overview

Team Budgets help your company organize spending by project, department, vendor, or initiative β€” giving managers better visibility and control over expenses.
Each Team Budget can be created as either a Virtual Budget (draws from your main wallet balance) or a Funded Budget (uses its own dedicated balance).


🧭 Steps to Create a Team Budget

  1. Go to Team Budgets from the navigation bar.

  2. Click Create Team Budget (green button).

  3. Choose the budget type:
      ‒ Virtual Budget β†’ no separate funds are required. Spending is deducted directly from the company’s SiFi wallet.
      ‒ Funded Budget β†’ a dedicated balance is allocated to this budget, and spending can only occur from that balance.


🏷️ Step 1: Name & Assign Managers

 ‒ Enter a clear budget name (for example, Marketing Q4 or Travel Department).
 ‒ Assign one or more managers responsible for overseeing this budget.
 ‒ Optionally, add a note describing the purpose or scope of the budget.


πŸ’Έ Step 2: Define Spending Limits

You can either:
 ‒ Keep No Limit β†’ spending will be capped only by the wallet or budget balance.
 ‒ Set a Defined Limit β†’ specify the amount and recurrence:
   – One-time limit (for example, SAR 1,000)
   – Daily, weekly, monthly, or yearly recurring limits (for example, SAR 200 weekly)

The limit resets automatically based on the selected cycle.
You can also specify an expiry date for when the budget should automatically close.


πŸ‘₯ Step 3: Add Members

 ‒ Select employees or users who should have access to this Team Budget.
 ‒ Members can make purchases or submit expenses under this budget according to its permissions.


🧾 Step 4: Choose Spend Categories

 ‒ Restrict or allow specific merchant categories such as:
   – Airlines
   – Hotels
   – Food & Beverage
   – Fuel
   – Others
When a category is disabled, any related transaction will automatically be declined.


πŸ”’ Step 5: Configure Security & Transaction Rules

Decide which transaction types are permitted for cards under this budget:
 ‒ Point-of-sale (POS)
 ‒ E-commerce / online
 ‒ ATM withdrawals
 ‒ International transactions

You can also:
 ‒ Allow all countries, or
 ‒ Restrict spending to specific countries only.


πŸ’Ό Step 6: Fund the Budget (for Funded Budgets Only)

If you selected a funded budget, you’ll be asked to:
 ‒ Enter the initial allocated balance (this can be zero).
 ‒ Optionally move funds immediately, or later from your main wallet.
 ‒ Optionally add a spending limit that applies on top of the budget’s balance for tighter control.

πŸ’‘ Funded Budgets spend strictly from their own balance. Make sure enough funds are available before use.


βœ… Step 7: Review & Create

 ‒ Review all budget details: name, managers, limits, members, and restrictions.
 ‒ Click Create Budget to finalize.

Your Team Budget is now created and ready to use.
